What personal data do we collect and why
We collect your personal information through cookies (as long as you agree), information submitted by various inquiry or application forms, e-payment if you submit a payment via our payment portal, copies of documents you submit in order to enroll and study with AAU. By submitting our form you give consent to the following use of personal data:
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Contact and application forms
We collect your personal information through our application portal application, 3rd party Pardot contact forms and 2nd party partners such as CommonApp, and store it in our CRM system in order to communicate effectively and facilitate your application process.
Cookies
Cookies are small pieces of data stored on the user’s computer by the web browser while browsing our website.
We currently use necessary and non necessary cookies. Necessary cookies are anonymized and don’t store any personal information. They help us manage and improve the website in order to provide the best possible user experience and service.
Non-necessary cookies are cookies that you can enable by giving consent by clicking the accept button on the bottom of the cookie bar when you first visit the website. They help us in providing the best possible communication but as such are non-critical to run our website.
Currently we use the following necessary cookies:
Google Analytics – anonymized 3rd party cookie. Google is not allowed to store the information and use it in any way and the IP address is not-available hence no personal data is collected or stored. The cookie expires after standard time of 24 months. Google serves as the data processing partner but cannot use that data in any way.
Currently we use the following non-necessary cookies:
Pardot – anonymized 3rd party cookie. Pardot uses a unique identifier and only once you decide to submit a form or apply with 鶹it merges with your created record and we can actually see your activity. The cookie expires automatically after 6 months.
Hotjar – website optimization tool that allows to record anonymized aggregated traffic in order to improve the user experience of the website.
Social Media cookies such as LinkedIn, Twitter and Facebook/Instagram – allow us to improve on our communication on social media and support campaigns promoting our university. The cookies are stored as per standard times established by those 3rd parties.
Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.
These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Who we share your data with
We do not share your data with any 3rd parties, with the exception of institutions we are legally obliged to share it with, for example the Ministry of Education. In the case of necessary cookies and forms the 3rd parties serve only as data processors and are not allowed to use that data in any way.
Visitor comments may be checked through an automated spam detection service.
How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data
If you have an account on our site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. You can also opt-out from any marketing email communication by clicking the unsubscribe button in each email you receive. In order to unsubscribe from one-to-one communication during the application process please request to be removed or forgotten, as defined by the EU GDPR regulation, and we will process that request without delay. Please forward such request to marketing@aauni.edu.
Note: As all application data is stored by 鶹you need to request data deletion directly with us, even if you created an application account using Facebook or Google sign in functionality.
